Terms of Service

1. Acceptance

These terms govern your use of Ceranova. By creating an account or using the service you agree to them. Ceranova is operated by Samuel Stevens, trading as Ceranova (“we”, “us”, “our”).

2. The service

Ceranova is a CRM (customer relationship management tool) for UK wedding and funeral celebrants. It helps you manage clients, ceremonies, scripts, questionnaires, contracts, invoicing, bookings and compliance in one place.

3. Your account

You must give accurate information when you sign up and keep your login credentials secure. Accounts are for a single user — Ceranova is a solo tool and is not designed to be shared across a team.

4. Free trial

You can try Ceranova free for 14 days. No credit card is required to start the trial.

5. Pricing, billing and cancellation

After your free trial you can choose a monthly plan, an annual plan, or a one-off “lifetime” licence. Prices are shown at checkout and payments are taken securely through Stripe.

The monthly and annual plans renew automatically at the end of each billing period until you cancel. You can cancel at any time from your billing settings (the Stripe customer portal); your access continues until the end of the period you have already paid for, and you are not charged again. We do not give pro-rata refunds for the unused part of a period unless the law requires it.

Under the UK Consumer Contracts Regulations 2013 you normally have a 14-day cooling-off period after buying a paid plan. Because the service is digital and supplied immediately, by subscribing you ask us to begin access straight away and acknowledge that your right to cancel for a refund may be lost once access has begun. Your separate right to cancel future renewals (above) is unaffected.

The one-off “lifetime” licence is a single payment with no recurring charge. “Lifetime” means access for as long as we continue to operate the service; it is not a guarantee that the service will run indefinitely, and we do not promise perpetual access beyond the life of the service.

6. Data protection responsibilities

When you enter personal data about your own clients (couples, families and the deceased), you are the data controller for that data and Ceranova acts as your processor. You must have a lawful basis to hold your clients’ data and must give your clients their own privacy information.

7. Acceptable use

You agree to use Ceranova lawfully. In particular, you must not:

  • upload personal data you have no lawful basis to hold;
  • use the service for any unlawful or harmful purpose;
  • reverse engineer, copy, or resell the service.

8. AI features

Some features use AI and are optional, switched on per ceremony. AI output may be imperfect and must be reviewed by you before you rely on it. AI-generated content is clearly labelled in the app.

9. Availability

The service is provided “as is” and “as available”. We make reasonable efforts to keep it running but do not guarantee any specific uptime in this version. Support is by email, with a 24-hour target response time.

10. Liability

To the fullest extent permitted by law, we are not liable for any indirect or consequential loss. Our total liability to you is limited to the amount you have paid for the service. Nothing in these terms limits liability that cannot be limited by law.

11. Termination

You can end these terms at any time by deleting your account. We may suspend or end your account if you breach these terms.

When your account is closed, your client data is deleted. Before closing your account you can use the built-in “Download all my data” export to keep your own copy. Some records (for example billing or transaction records) may be retained for as long as the law requires.

12. Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.

13. Changes to these terms

We may update these terms from time to time. When we do, we will update the “Last updated” date at the top of this page.
